 Job Role

Managing the day-to-day running of a Civils Repair and Maintenance (R&M) Contract involves a variety of operational and administrative tasks. Here’s a breakdown of key activities and responsibilities to ensure smooth daily operations:

Project Planning and Scheduling

Develop Work Schedules: Plan and schedule repair and maintenance activities to minimize disruption to services and ensure efficient use of resources.

Prioritize Tasks: Assign priority to tasks based on urgency, safety, and impact on the network.

Resource Management

Allocate Personnel: Ensure you have the right team members with the appropriate skills for each task. This might include engineers, laborers, and supervisors.

Manage Equipment and Materials: Maintain an inventory of necessary equipment and materials, ensuring they are available when needed.

Budget and Cost Control

Monitor Expenses: Keep track of expenditures against the budget to avoid cost overruns.

Optimize Costs: Look for ways to reduce costs, such as bulk purchasing materials or optimizing crew deployment.

Quality Control and Compliance

Ensure Standards Compliance: Work must comply with relevant safety, environmental, and quality standards.

Conduct Inspections: Regular inspections help ensure work is completed to the required standards and identify any issues early.

Health and Safety

Risk Assessments: Conduct thorough risk assessments for all activities to identify and mitigate potential hazards.

Safety Training: Regularly train staff on safety procedures and protocols.

Communication and Coordination

Stakeholder Engagement: Keep stakeholders informed about project progress, issues, and resolutions. This includes clients, local authorities, and the public.

Coordinate with Other Teams: Work closely with other teams or contractors involved in the network's operation.

Documentation and Reporting

Maintain Records: Keep detailed records of work performed, including dates, locations, costs, and any issues encountered.

Prepare Reports: Regularly report on progress, challenges, and achievements to stakeholders.

Emergency Response

Preparedness: Develop and maintain emergency response plans for quick and effective action in case of network failures or natural disasters.

Rapid Mobilization: Be ready to quickly deploy teams and resources in response to urgent repair needs.

Continuous Improvement

Review and Feedback: Regularly review processes and seek feedback from team members and stakeholders to identify areas for improvement.

Implement Best Practices: Stay updated with industry best practices and incorporate them into your operations.

Technology Utilization

Use of Software Tools: Employ project management and maintenance software to track progress, resources, and schedules.

Data Analysis: Use data analytics to predict maintenance needs and optimize scheduling.

Job Responsibilities

  • Communicate relevant information to those undertaking work, including risk assessment briefings , toolbox talks and safety alerts
  • Conduct regular site safety inspections and record findings on the standard report forms.
  • Follow up actions from your inspections that cannot be immediately resolved to close down.
  • Intervene constructively if you see unsafe acts or conditions
  • Seek advice from your manager or the Health and Safety Manager/Adviser as required.
  • Ensure that contractors who carry out work on our behalf, work in a safe and proper manner and that they follow all agreed health and safety procedures
  • Participate in accident and incident investigation with the aim of preventing recurrence.
  • Encourage the site teams to report incidents and make full use of the hazard reporting system.
  • Answer Customer queries.
  • Answer Client queries.
  • Inspect & allocate new jobs when required.
  • Inspect completed jobs & collate tracksheets, including post works and liaise with the commercial team.
  • Complete & submit SRR’s & MOS423 forms.
  • Conduct Disciplinaries / investigate incidents.
  • Provide 3rd party damage information to client when required.
  • Complete & submit site specific method statements / H&S460 / SCO.
  • Compile weekly Timesheets.
  • Set up and conduct team meetings.
  • Set up and conduct supervisor meetings.
  • Submit Holiday requests.
  • Compile OOH Standby rota.
  • Be part of the CEC or Escalations rota.
  • Inspect supervisor site audits, sign off & send to SHEQ.
  • Complete Site audits as per guidelines.
  • Action SHEQ site audits as required.
  • Instruct team or complete TBT’s & send attendance sheet to SHEQ.
